This policy explains what Sunspire Skylights Chelmsford does with personal information, why, and what you can ask for. It is written to be read rather than skimmed, and it covers enquiries, surveys, quotations and completed installations.
The law that applies is the UK General Data Protection Regulation and the Data Protection Act 2018. The route for any question or request in this policy is info@sunspireskylightschelmsford.co.uk.
Who controls the information
Sunspire Skylights Chelmsford is the data controller for personal information collected through this website and in the course of quoting for and carrying out work. Company registration details: [to be confirmed]. Registration with the Information Commissioner’s Office: [to be confirmed].
Questions about data are handled directly by Sunspire at the email address above, rather than through a third party.
What is collected, and when
Information arrives at three points, and the amount grows at each one.
- At enquiry. Your name, email address, any telephone number you choose to give, the town or address of the property, and whatever you write in the message. Photographs of a roof or ceiling if you attach them.
- At survey. The property address, measurements and photographs of the roof and the room, notes on the structure and covering, and access details.
- At installation. Records of the units supplied and their specification, dates, the Building Control notification for the work, invoicing details, and any correspondence about the job.
The website itself collects limited technical information about visits. That is covered separately in the cookie policy.
Why it is used, and the lawful basis for each purpose
| Purpose | Lawful basis |
|---|---|
| Answering an enquiry and preparing a quotation | Steps taken at your request before entering a contract |
| Arranging and carrying out a survey and installation | Performance of a contract |
| Notifying the work to Building Control | Legal obligation |
| Invoicing and keeping accounting records | Legal obligation |
| Holding installation records so a guarantee claim can be assessed | Legitimate interests, and your own interest in the guarantee |
| Website analytics | Consent, given through the cookie banner |
Personal information is not sold, and it is not passed to anyone for their own marketing.
Photographs of your property
Survey and installation photographs are working records. They show a roof, a ceiling, an opening and the detailing around it, and they are kept with the job file so that any later question about how something was built can be answered from evidence rather than memory.
Using any photograph publicly, on this website or elsewhere, requires your separate written agreement, asked for at the time and refusable without affecting anything else.
Who else sees your information
A short list, and each entry has a reason.
- The email provider that carries correspondence, and the web hosting provider for this site.
- Rooflight manufacturers and suppliers, where a delivery address is needed for a made to measure unit.
- The Building Control body for the relevant local authority, which is a statutory notification.
- A structural engineer, where a calculation is required for an opening. The property address and the structural drawings go across, not your contact history.
- An accountant, and HMRC, for invoicing and tax records.
Where a supplier processes information on Sunspire’s behalf, a written processing agreement governs what they may do with it.
Where information is held
Correspondence and job records are held on services operated within the UK or the European Economic Area. Where a provider processes data outside that area, the transfer relies on the safeguards recognised under UK data protection law, such as an adequacy decision or the International Data Transfer Addendum. Current providers and their locations: [to be confirmed].
How long it is kept
Different records have different useful lives, and the periods are governed by legal obligation as much as by preference.
Accounting and invoicing records are kept for the period required by HMRC. Installation records, including specifications and photographs of the detailing, are kept for at least the length of the workmanship guarantee, because assessing a claim requires knowing what was built. Enquiries that do not become jobs are kept for a shorter period and then deleted. The specific retention periods applied to each category: [to be confirmed].
Your rights, in plain terms
Under UK GDPR you can ask for the following, and there is no charge in ordinary circumstances.
- Access. A copy of the personal information held about you.
- Rectification. Correction of anything inaccurate.
- Erasure. Deletion, where there is no continuing legal or contractual reason to hold it.
- Restriction. A pause on processing while an accuracy dispute is resolved.
- Portability. Information you supplied, in a machine readable form.
- Objection. To processing based on legitimate interests, and at any time to direct marketing.
- Withdrawal of consent. Where consent was the basis, withdrawing it is as easy as giving it.
Making a request
Email the address at the top of this page and describe what you want. A response is due within one month, extendable by two further months for a complex request, in which case you will be told inside the first month. Identity may need confirming before information is released, which protects you rather than us.
If you are unhappy with the answer
Raise it by email first, since most issues are a misunderstanding that can be settled quickly. If the outcome still does not satisfy you, the Information Commissioner’s Office is the supervisory authority for the UK and takes complaints directly through its website at ico.org.uk. Going to the ICO does not cost anything and does not require going through Sunspire first.
Changes to this policy
This policy is reviewed when the way information is handled changes, and when the law does. The version in force is the one published here. Date of this version: [to be confirmed].
